Recording treatments, vet visits and vet approvals

Log wormers, vaccines and other treatments with re-treat reminders, record vet visits and illness, and keep your vet’s written approvals on file.

WhelpHQ keeps three kinds of health record for each dog: treatments (anything given, such as a wormer, vaccine or antibiotic), health events (vet visits, illness, injuries, surgery and checkups) and vet approvals (your vet’s written OK to breed a dog).

Log a treatment

  1. 1Go to Treatments → Log Treatment.
  2. 2Under Apply to, choose Individual for one dog, or Group / Litter for a group you’ve set up on the Dogs page.
  3. 3Pick the dog, then start typing the Medication. Choose a product from the list, or type any name to add your own.
  4. 4Enter the Date and Dose Given.
  5. 5Schedule next re-treatment fills in from the product’s usual interval, and WhelpHQ adds a reminder for the next dose. Change it, or clear it for a one-off.
  6. 6Add the batch number and expiry and who gave it. Tick Administered by a vet if your vet gave it.
  7. 7Tap Log Treatment.

Treating a litter? Open the litter and tap Treat Litter instead. Treating several adult dogs at once? On the Dogs page tap Select, tick the dogs, then tap Log treatment.

If a treatment reminder comes up and you decide not to give it this time, tick it off and tap Didn’t treat this round. WhelpHQ records that it was skipped and why, and can remind you to check again later.

Record a vet visit, illness or injury

  1. 1Go to Health → Log Health Event.
  2. 2Choose the Event Type (Vet Visit, Illness, Injury, Surgery / Procedure, Checkup, Death or Other) and the dog.
  3. 3Fill in what happened, the vet and clinic, the diagnosis, any treatment given and the cost.
  4. 4Add photos or PDFs, such as the vet’s report, under Attachments.
  5. 5Set a Follow-up Date to get a reminder to check on the dog, then tap Save Event.

Choosing Death also records an exit event: the dog moves to your Archive and its reminders are cleared.

Vet approvals

Some breeding decisions need your vet’s approval in writing. For example, in NSW a bitch who has had 2 caesareans needs a vet’s written approval before another pregnancy. In Tasmania, breeding a bitch over 7 years old, or beyond 5 litters, needs a vet’s written determination. Queensland’s breeding code says a dog with a harmful inherited condition can’t be bred without written approval from a vet or geneticist.

  1. 1Open the dog’s page and find Vet Approvals.
  2. 2Tap + Log Approval and choose the Approval Type: Breeding Fitness, Heritable Condition or Non-Isolation.
  3. 3Enter the vet’s name, clinic, date and any expiry, and upload the signed approval as a PDF.
  4. 4Tap Log Approval.

Approvals are printed in the dog’s Compliance Record, and WhelpHQ marks them Expired once the expiry date passes.

Care protocols

Care protocols are schedules of treatments and checks that WhelpHQ turns into reminders whenever you log a litter. Find them in Settings → Care Protocols → Manage Protocols.
